UIC International Travel Safety Guidelines for Travelers
The University of Illinois at Chicago (UIC) mandates that all faculty, staff, and students register with the International Travel Safety Portal before embarking on UIC-sponsored international travel to qualify for travel reimbursement. This process aims to enhance the safety and security of travelers affiliated with the institution.
Travelers engaged in university-related trips must adhere to specific guidelines based on their status as faculty, staff, or student. Travel to countries with heightened advisories faces rigorous scrutiny. The Office of Global Engagement reviews travel plans to nations marked by the U.S. Department of State with Level 3 or Level 4 Travel Advisories or the Centers for Disease Control and Prevention's Level 3 Advisory. Travel to areas under evacuation orders is strictly prohibited.
In March, UIC travelers were alerted to a Worldwide Caution from the U.S. Department of State concerning the Middle East, which remains in effect. Proposed travel within this region will be subject to additional assessments to ensure compliance with these advisories.
From an insurance perspective, Gallagher closely monitors geopolitical conditions and maintains a list of high-risk regions due to potential conflicts. Should travel be approved to a high-risk nation, securing a war risk endorsement is necessary to ensure complete insurance coverage. The Study Abroad Office provides the list of these countries and further information on risk management protocols.
For faculty and staff participating in international travel unrelated to UIC activities, prior approval must be obtained through the UIC Conflict of Commitment & Interest portal. If funding is provided by non-UIC entities, preapproval under certain exceptions to the Ethics Act is required. Reporting personal travel to supervisors is advised, though registration in the International Travel Safety Portal is unnecessary.
Travelers with UIC property like technology and data should consult guidelines from the Office of the Vice Chancellor for Research. This involves assessing the security risks associated with carrying such items abroad.
